By registering to participate in the EuroGames Vienna 2024, you accept the following Terms and Conditions:

The EuroGames Vienna 2024 are organised by EuroGames Vienna 2024, a non-profit organisation registered in Vienna, Austria (hereinafter referred to as “HO” – host organisation).

EuroGames® is licensed by the European Gay & Lesbian Sport Federation (hereinafter referred to as “EGLSF”).

1. Disclosure of Personal Information

I understand that as part of the registration process of the EuroGames Vienna 2024, personal information will be collected by HO and stored in accordance with Austrian legislation. I accept the collection, use and disclosure of my personal information for the purpose of enabling my participation in the sports, conference and cultural program of the EuroGames Vienna 2024 and for the purpose of receiving information related to my participation in this event from HO in the form of electronic newsletters, promotional flyers and other communication media.

I give my consent that HO may disclose my personal information to any third parties that are involved in the organisation, on behalf of HO, of the EuroGames Vienna 2024 and to the European Gay & Lesbian Sport Federation for the purposes of promoting the EuroGames 2024 or any subsequent EuroGames. I accept that my name could be published online for the purpose of tournament schedules, medal ceremonies and ranking lists. When registering, HO gives participants the option of indicating a name they prefer to go by instead of their given name.

2. Age Policy

The age limit for participation in the EuroGames Vienna 2024 is 18 years. Accordingly, participants must be 18 years old or older by 17 July 2024.

3. Gender Policy

HO affirms and supports the rights of athletes to compete as their true selves and to compete in the gender category that accords with their gender identity or that they feel most comfortable with.

We use the terms “male* identified” and “female* identified” to emphasise the self-identification of gender. The asterisk after “male” and “female” is to make clear that the categories refer to all participants who define themselves as “male” or “female” in the respective sports competitions and has no relation to their birth-assigned sex.

Sports without gender identity categories are open to participants of all gender identities.  

In sports with gender identity categories male* identified categories are mainly open to male* identified participants and female* identified categories are mainly open to female* identified participants. 

We recognise that a binary definition of gender excludes people who are non-binary, and so in sports with gender categories, we aim to offer a third category that is mainly open for non-binary participants.

We aim to ensure a minimum of 75 % male* identified participants in male* identified categories, a minimum of 75 % female* identified participants in female* identified categories, and a minimum of 75 % non-binary participants in non-binary categories.

In doubles and team competitions, additional mixed categories are open to all gender identities and may be limited to a maximum of 50 % male* identified participants.

Please note that the different gender identity categories may be merged if too few participants register for one gender identity category.

During the registration process, athletes can respond to questions regarding gender identity in an attempt to help monitor gender diversity. Please note that these are optional questions. The data helps us monitor inclusion, diversity and representation at EuroGames Vienna 2024. Furthermore, we will use the data to create a push for greater inclusion in sports by proving that it is indeed possible.

We recognise that some governing bodies and some of the competition frameworks we are using will have different or conflicting gender policies to this. Where this is the case, this gender policy of the HO will take priority.

4. Health and Insurance

I declare that I am in a physically fit and healthy state which is required for participation in events of the EuroGames Vienna 2024 for which I am registering, and that I am not aware of any serious medical condition that would prevent me participating in these physical activities. For clarification, it is agreed that having been diagnosed as HIV positive is not considered a “serious medical condition” for the purposes of this clause.

If I sustain an injury or illness while participating in any role in the EuroGames Vienna 2024, I hereby authorise any medical or health personnel to perform and administer first aid medical treatment as deemed necessary and to seek more specialised medical attention at hospitals and health care institutions if deemed necessary by any first aid and medical staff or contractors of HO.

I accept that it is my responsibility to organise my own travel insurance and personal accident insurance to cover my property and myself for the whole period of the EuroGames Vienna 2024. I agree that I have hereby been advised to acquire adequate personal accident and health care insurance as a participant in any role in the EuroGames Vienna 2024.

5. Liability

I acknowledge that I am fully aware of the risks and hazards inherent to participation in the different events of EuroGames Vienna 2024. I acknowledge and agree that I have elected to voluntarily enter this agreement and to assume all risks of loss, damage and injury, including death, that I may sustain as a consequence of my participation in any of the sports or other events that I participate in. I hereby fully release HO and EGLSF and all of its affiliated companies, sponsors, servants, agents, officers, directors, members, volunteers and employees from any claims, actions, suits or demands of whichever nature arising out of or related in any way to my participation in the events of EuroGames Vienna 2024, including any loss, damage, injury or death sustained by any third party as a result, directly or indirectly, of my participation in the event. I hereby fully indemnify HO and all of its affiliated companies, sponsors, servants, agents, officers, directors, members, volunteers and employees against all expenses, losses, damages and costs that they may incur as a result of my participation in the event.

6. Rules and Regulations

I agree to abide by the rules and regulations of the EuroGames Vienna 2024 events as determined by HO and governing bodies for sport and cultural events, including all written and verbal instructions given by HO designated officials and event managers.

Applicable rules and regulations include – but are not limited to:

I agree that any failure to comply with the official instructions, rules and regulations of HO or governing bodies for sports, conference and culture events may result in immediate disqualification from events or from the games.

I accept that the decisions of HO and EuroGames Vienna 2024 in tournament officials are final.

HO reserves the right to have designated officials reclassify sports, cultural event and conference participants where the registrant has self-selected a grade, level, category, division or other classification. HO reserves the right to combine or eliminate grades, levels, rounds, event lengths, categories, divisions, or other classifications if deemed necessary at HO’s complete and sole discretion.

I am aware that some venues or locations may have restricted accessibility or restrictions to serve special needs. HO is committed to make sports, politics and culture accessible for everyone. The EuroGames Vienna 2024 will follow local legislation and aim for a fully accessible event independent of any special needs or disabilities.

7. Cancellations and Refund Policy

(1)        Venues, competition days and schedules of events may be changed or cancelled at HO’s absolute discretion, after which HO may decide to provide a refund of participation fees. In the event that HO cancels the entire event, or parts of the event, for any reason whatsoever, [including in case of COVID-19 restrictions or limitations], I agree that I will have no claim or take no action against HO in respect of any loss, damage or expenses incurred by me as a result of such cancellation, and I acknowledge and agree that any potential refund of the registration fee is subject to the sole discretion of the HO and may be partial in nature. 

Notwithstanding the above, in case the organisation is compelled to cancel a specific sport as part of EuroGames Vienna 2024 because of a lack of participants, participants will be offered the choice between registering for another sport or withdrawing their participation. In the latter case, they receive a 100% refund.

(2)       In the event where I as a participant can no longer take part in the upcoming event, I accept and agree that no claim or action will be taken against HO regarding pay back of the registration fee. In the event of cancellation due to force majeure, I agree that I will not be entitled to any refund or compensation.

Notwithstanding the above, cancellations received by February 29 April 15, 2024, will receive a 50% refund.

Cancellations must be notified in writing to .

8. Outreach

I accept that some participants of the EuroGames Vienna 2024 may have their registration fee deducted or removed or gain other financial benefits as part of the Outreach Programme. The criteria for gaining such benefits are based upon HO’s Outreach Policy, which can be received from HO and will be provided to all who apply for the Outreach Programme.

9. Trademarks and Branding

I agree not to make any unauthorised use of the logo or trademarks, including “EuroGames”, “EuroGames 2024”, “EuroGames Vienna 2024”, “EGLSF” or any variation on these, on personal or team uniforms/clothing, merchandise, or promotional material and to abide by HO’s policies governing the use of logos and trade names.

I agree not to act in a way that would harm or compete with or devalue HO and EGLSF, EGLSF sponsors’ rights regarding branding potential, logo rights, exclusive presence, etc. at venues where events are being held. If at any time during the event, officials designated by HO determine, at their sole discretion, that my actions may result in the devaluation of said sponsor rights or competes with the event sponsors, I will be required to immediately cease such action, including the removal of any uniforms, signs or other items that compete with sponsor or potentially devalues such sponsorship.

10. Promotional Material

I hereby grant HO the unconditional right to use, at its discretion, photographic pictures of myself in any form of media, art, advertising, trade, visual documentary, promotional material, merchandise or film coverage of any kind without compensation to me or approval by me. I will not make any unauthorised reproductions or copies of the EuroGames 2024 logo or likenesses without written permission from HO.

11. Applicable Law

Any dispute arising out of or in connection with the EuroGames Vienna 2024, including any disputes regarding the existence, validity or termination thereof, will be subject to Austrian law and will be resolved by the Handelsgericht Wien, Austria.

We use similar policies as EuroGames Copenhagen 2021, EuroGames Nijmegen 2022 and EuroGames Bern 2023. We thank the respective organisers for their support.
